Terms of Service

These Terms of Service ("Terms") govern your use of Renewal Desk, a gym membership renewal tracking and WhatsApp reminder platform operated by Revorax ("we", "us", "our"). By accessing or using Renewal Desk, you agree to be bound by these Terms.

1. Service Description

Renewal Desk is a SaaS platform that helps gym owners and fitness businesses:

  • Track gym member subscriptions and expiry dates
  • Send automated WhatsApp renewal reminders with payment QR codes via the Meta WhatsApp Business Cloud API
  • Control biometric door access (compatible eSSL/ZKTeco devices) based on membership status
  • Manage multiple gym locations from a single dashboard
  • Use an AI receptionist for automated WhatsApp responses (where enabled)
  • Import member data via CSV

The service is available as a web application and an Android application (package: online.revorax.renewaldesk).

2. Account Responsibilities

  • You must provide accurate, complete, and current information when creating an account
  • You are responsible for maintaining the confidentiality of your account credentials
  • You are responsible for all activities that occur under your account
  • You must notify us immediately if you suspect unauthorized use of your account
  • You must be at least 18 years old to create an account
  • Gym owners are responsible for the accuracy of member data they enter or import into the system

3. Subscription and Billing

3.1 Subscription Plans

Renewal Desk offers subscription plans (Starter, Growth, Pro) billed on a recurring monthly basis. Plan features and pricing are displayed within the app and on our website. Pricing may vary by region.

3.2 Google Play Subscriptions

If you subscribe through the Google Play Store:

  • Billing and payment processing are handled by Google Play
  • Subscriptions automatically renew unless cancelled at least 24 hours before the end of the current billing period
  • You can manage or cancel your subscription through Google Play Store → Subscriptions
  • Refunds for Google Play purchases are subject to Google Play's refund policy
  • Google Play's terms of service apply to all transactions processed through the Play Store

3.3 Manual / Direct Subscriptions

Some accounts may be set up directly by the Revorax team (e.g., early adopters, founder accounts, or enterprise arrangements). For these accounts:

  • Billing terms are agreed upon directly between the customer and Revorax
  • Payment may be collected via UPI, bank transfer, or other agreed methods
  • Cancellation and refund terms are as agreed at the time of setup

3.4 Free Download

The Renewal Desk Android app is free to download. A subscription is required to access premium features.

4. WhatsApp Usage

  • Renewal Desk uses the official Meta WhatsApp Business Cloud API to send messages on behalf of your gym business
  • Each gym uses its own WhatsApp Business number — messages are sent from your number, not from Revorax
  • You are responsible for ensuring that your use of WhatsApp Business complies with Meta's Business Policy and applicable laws
  • You must have proper consent from your gym members before sending them WhatsApp messages
  • Renewal Desk is not endorsed by, affiliated with, or sponsored by Meta Platforms, Inc.
  • WhatsApp message costs (Meta conversation charges) are separate from your Renewal Desk subscription and are billed by Meta through your WhatsApp Business account
  • Eligibility for WhatsApp Business API access is determined by Meta and may depend on your business verification status

5. AI Features and Limitations

If the AI receptionist feature is enabled for your gym:

  • Automated responses are generated by third-party AI providers and may not always be accurate or appropriate
  • AI-generated responses are not a substitute for human judgment, professional advice, or direct customer service
  • You are responsible for reviewing and monitoring AI-generated messages sent on behalf of your business
  • We do not guarantee the accuracy, completeness, or suitability of AI-generated content
  • You can disable AI features at any time from your account settings

6. Acceptable Use

You agree not to:

  • Use Renewal Desk for any purpose other than managing gym/fitness business memberships
  • Send spam, unsolicited messages, or messages unrelated to membership renewals through the platform
  • Upload false, misleading, or fraudulent member data
  • Attempt to access other users' accounts or gym data
  • Reverse engineer, decompile, or otherwise attempt to extract the source code of the platform
  • Use the service in violation of any applicable laws or regulations
  • Interfere with or disrupt the service or its infrastructure

7. User Content and Data

  • You retain ownership of all data you enter into Renewal Desk
  • You grant us a limited license to process, store, and transmit your data solely to provide the Renewal Desk service
  • You are responsible for ensuring you have the right to collect and store your gym members' personal data under applicable data protection laws

8. Intellectual Property

Renewal Desk, the Revorax name, logos, and all related software, designs, and content are the intellectual property of Revorax. You may not copy, modify, distribute, or create derivative works based on our intellectual property without written permission.

9. Service Availability

  • We strive to keep Renewal Desk available and reliable, but we do not guarantee uninterrupted or error-free service
  • We may perform scheduled maintenance that temporarily affects availability
  • We are not liable for disruptions caused by third-party services (WhatsApp API, Google Play, hosting providers, internet connectivity, etc.)
  • The biometric bridge feature depends on your local network and hardware setup — Revorax is not responsible for issues caused by your local infrastructure

10. Termination

  • You may cancel your subscription and request account deletion at any time (see Delete Account)
  • We may suspend or terminate your account if you violate these Terms or engage in behavior that harms the service or other users
  • Upon termination, your access to the service will cease, and your data will be handled according to our Privacy Policy

11. Limitation of Liability

To the maximum extent permitted by applicable law:

  • Renewal Desk is provided "as is" and "as available" without warranties of any kind, express or implied
  • We are not liable for any indirect, incidental, special, consequential, or punitive damages arising from your use of the service
  • Our total liability for any claims arising from or related to the service shall not exceed the amount you paid us in the 12 months preceding the claim
  • We are not liable for lost revenue, missed renewals, incorrect messages, biometric access errors, or any business losses resulting from use of or inability to use the service

12. Indemnification

You agree to indemnify and hold harmless Revorax from any claims, damages, losses, or expenses (including legal fees) arising from your use of the service, your violation of these Terms, or your violation of any third-party rights.

13. Governing Law

These Terms are governed by and construed in accordance with the laws of India. Any disputes arising from or related to these Terms or the Renewal Desk service shall be subject to the exclusive jurisdiction of the courts in Hyderabad, Telangana, India.

14. Changes to These Terms

We may update these Terms from time to time. When we make material changes, we will update the "Last updated" date at the top and make reasonable efforts to notify you. Your continued use of Renewal Desk after changes take effect constitutes acceptance of the updated Terms.
